How we collect, use, store and share personal information.

Meaningful Activities Pty Ltd, ABN 58 664 451 585, provides occupational therapy and related services in South Australia. This policy covers information connected with our services, website, enquiries, referrals, recruitment and digital products.

What information we collect

We collect information for a clear purpose

The information we need depends on why you are dealing with us.

Services and referrals

We may collect your identity and contact details, details about anyone authorised to act for you, and information about communication, health, disability, goals, safety, funding and payments. Service records may include consent, assessment notes, services provided and communication with people authorised to be involved.

We use this information to review referrals, organise and provide support, communicate safely, manage funding and payments, and meet our professional and legal responsibilities.

General enquiries

We may collect your name, contact details and the information you choose to provide. Do not send detailed health records through a general contact form. Use the referral route or another method confirmed by our team.

Recruitment

We may collect contact details, qualifications, registration status, work history, referee information and other information needed to assess an application or expression of interest.

We may keep an expression of interest for up to 24 months so we can consider the person for a suitable future role. The person can ask us to remove it earlier by emailing admin@meaningfulactivities.com.au.

Digital purchases and product support

When you buy a digital product, we may collect contact, order, payment reference and support information. Do not send clinical records, NDIS information or full payment card details through product support.

How we handle information

How information moves through Meaningful Activities

Collection

We may receive information from you, someone authorised to act for you, a person making a referral, an organisation funding your support or another person involved in your care. We collect it with the required consent or when the law allows it.

Use

We use personal information for the purpose for which it was collected, and for another purpose only when permitted by law.

Storage and protection

We use third-party forms and systems to collect, manage and store information. These currently include Webflow forms, Google Forms, Microsoft 365, Notion, Splose, Xero and email marketing platforms. Access is limited to authorised team members who need the information for their work. We take reasonable steps to protect information from loss, misuse and access or sharing without permission.

Sharing

We may share information with people you authorise, people providing your support, organisations funding your services, and authorities when the law requires or allows it. Service providers that run our website, forms and systems may also handle information on our behalf.

Retention

We keep information for as long as it is needed for the purpose for which it was collected and for any period required by applicable law.

Overseas processing and storage

Some of the platforms we use may process or store information outside Australia. The countries involved can depend on the provider and its infrastructure. Where Australian privacy law applies to an overseas disclosure, we take the steps required by that law.

Website data, cookies and tracking

How the website uses data

How we use website information to serve you better

We like to see our website through your eyes. With your permission, we use tools such as Google Analytics, Google Ads, Meta, LinkedIn and Plerdy (which shows us, in a combined way, where visitors click and scroll) to learn which pages help families most and which parts are hard to use. This helps us keep information clear, make the website easier to move around, and reach the people who could benefit from our support.

These tools are managed through Google Tag Manager. They run only on our general pages (Home, About, Locations, Blog, Resources and Careers), and only after you choose "Accept" on our cookie banner. You can change your mind at any time with "Cookie settings" at the bottom of every page.
They never run on our referral, contact or feedback pages. We do not send clinical records, referral answers, complaint details or anything you type into a form to any of these tools. Some of these providers may process information outside Australia.

Your privacy rights and questions

Ask to see, correct or raise a concern about your information

You can ask to see the personal information we hold about you or ask us to correct information you believe is wrong, out of date, incomplete, not relevant or misleading.

Email admin@meaningfulactivities.com.au or call 0480 801 287. Tell us what you are asking for and give us enough detail to find the right record. We may need to check your identity and whether you have authority to act for someone else.

The law may allow us to refuse access to some information or decline a requested correction. If that happens, we will explain why and what options remain, as required by law.

If you think personal information has been mishandled, tell us what happened and what you would like us to do. Only share the information needed to explain the concern. We will look into it and explain the next steps.

If you are unhappy with our response, or we have not responded within 30 days, you can lodge a privacy complaint with the Office of the Australian Information Commissioner.
